Self-Service Portals for Customers, Dealers, Vendors and Employees

A self-service portal gives each group you work with a secure login and a clear view of their own orders, payments, documents and requests. RDS Innovations builds portals that connect to your existing systems, so the information shown is current and routine questions no longer have to pass through a staff member.

THE PROBLEM

What goes wrong without it

In many businesses, a large share of incoming calls and messages are status questions. Where is my order? Has my payment been received? Can you send the invoice again? What is my leave balance? Has my bill been approved? Each answer takes a staff member a few minutes to look up, and these questions arrive all day through phone, email and WhatsApp.

Dealers, distributors and vendors face the same problem from the other side. They cannot see their own account, so they wait for a reply, chase by phone or send the same documents again. Price lists and product documents circulate as forwarded files, and nobody is sure which version is current. Employees email HR for payslips and policies that already sit in a folder somewhere.

The information already exists inside the business. It is simply locked in systems that only internal staff can reach, so every request has to go through a person, and that person becomes the bottleneck.

THE PROPOSED SYSTEM

How the solution works

A portal gives each external or internal group a secure login and a focused view of their own information. A customer sees their orders, invoices, payments, service requests and documents. A dealer sees their price list, stock availability, orders, outstanding balance and current schemes. A vendor sees purchase orders, delivery schedules, bill status and payment advice. An employee sees their profile, attendance, leave, payslips and requests.

The portal does not keep a separate copy of your business. It reads from and writes to your core systems, such as a CRM, ERP, accounting package or HR system, through integrations. When a dealer places an order in the portal, it appears in the internal order queue. When accounts records a payment, the customer sees it on their statement. If a core system is missing, the portal can hold the required records itself until one is in place.

Requests that need a person, such as a complaint, a document correction or a leave application, are raised through structured forms that capture the right details the first time. Each request gets a reference number, an owner and a status the requester can follow, so they no longer need to call to ask what is happening.

KEY CAPABILITIES

What the system can include.

01

Secure, role-specific login

Separate portal areas for customers, dealers, vendors and employees, with sign-in by password, email link or OTP and access limited to each user's own records.

02

Account and transaction views

Orders, invoices, receipts, statements, purchase orders and payment status presented clearly with search and filters.

03

Document center

Invoices, contracts, certificates, payslips, price lists and manuals available to download, always in their current version.

04

Online ordering and reordering

Dealers and business customers order from their own price list and repeat past orders, within credit limits you set.

05

Service and support requests

Structured request forms with attachments, reference numbers, status tracking and replies inside the portal.

06

Employee self-service

Leave applications, attendance views, expense submissions, payslip downloads and policy acknowledgments.

07

Status notifications

Email, SMS or WhatsApp updates when an order ships, a bill is approved, a request is answered or a document is ready.

08

Internal admin console

Staff manage portal users, approve sign-ups, publish documents and respond to requests from one place.

INTENDED USERS

Who uses it day to day.

Customers

Track orders and service requests, download invoices and pay outstanding amounts online.

Dealers and distributors

Check prices and stock, place and repeat orders, and review their balance and scheme benefits.

Vendors and suppliers

View purchase orders and delivery schedules, upload bills and follow approval and payment status.

Employees

Apply for leave, view attendance, submit expenses and download payslips and policy documents.

Internal service, accounts and HR teams

Handle the requests that genuinely need a person, with complete information attached.

Integrations, implementation and benefits

INTEGRATIONS

  • ERP or business management systems for orders, stock and dispatch
  • CRM for customer profiles and service history
  • Accounting software such as Tally or Zoho Books for statements and payment status
  • HR and payroll systems for attendance, leave and payslips
  • Payment gateways such as Razorpay or Stripe for paying invoices online
  • WhatsApp Business API, SMS/OTP providers and email for notifications and sign-in
  • Document storage such as Google Workspace or an internal file store

IMPLEMENTATION CONSIDERATIONS

  • Request analysis: we review which questions and requests each group sends most often and decide what the portal must answer first.
  • System connections: we check what data your existing systems can share and agree how often the portal reads and updates it.
  • Access design: user types, sign-up and approval rules and visibility are defined, including how accounts are disabled when a relationship or employment ends.
  • Portal design and build: screens are designed mobile-first, since many dealers, vendors and employees will use a phone.
  • Pilot group: a small set of customers, dealers or employees uses the portal first, and their feedback shapes the wider launch.
  • Rollout and adoption: we provide onboarding messages and short guides, and your team starts directing routine requests to the portal. A focused portal typically takes several weeks to a few months, depending mainly on integrations.

OPERATIONAL BENEFITS

  • Routine status questions are answered by the portal instead of a staff member.
  • Customers, dealers and vendors can check their account outside office hours.
  • Everyone downloads the current version of documents and price lists.
  • Requests arrive with complete information and a clear owner.
  • Internal teams spend more time on exceptions and less on lookups.
  • Relationships with dealers and vendors become more transparent, with fewer disputes over what was sent, received or paid.
FAQ

Questions about portals.

Can one portal serve customers, dealers and employees?

Yes, either as separate role-based areas inside one platform or as separate portals that share a backend. Separate areas are simpler to maintain. Separate portals make sense when the audiences, branding or security needs are very different.

Do we need an ERP or CRM before building a portal?

No, but it helps. If your data already lives in a system with an API or export, the portal connects to it. If not, the portal can hold the required records itself and be connected to a core system later.

How do portal users sign in securely?

Common options are email and password, one-time passwords by SMS or email, and single sign-on for employees. We add controls such as session timeouts, login records and quick account disabling. The right approach depends on how sensitive the information is.

What about personal data shown in the portal?

Portals often display personal and financial information, so access rules, encryption in transit and at rest, and audit logs are designed in from the start. Obligations under India's Digital Personal Data Protection Act, 2023 and any sector-specific rules should be assessed with your legal advisers.

Will people actually use it?

Adoption improves when the portal answers the questions people ask most, works well on a phone and is introduced with clear instructions. It also helps when your team consistently points routine requests to the portal instead of answering them by phone.
